Add a prospect
- Open Fundraising Pipeline → Funnel and choose Add to the funnel.
- Choose an organisation or a person and select the existing record.
- Set the starting stage and owner. Add an indicative value, decision window, tags, source, and opportunity type where useful.
- Choose Add to funnel and allow a moment for it to appear.
The decision window can be a date or a note such as “board meets in March”. Indicative value is an estimate, not income received.
Work through cultivation
Use Board to move active prospects through Identified, Researching, Approached, and In conversation. Open a prospect to review details, the cultivation timeline, and contacts involved. Add contacts with roles such as main contact, decision maker, or introducer.
- Log touchpoint records research, an approach, a meeting, a call, a response, or a pitch. Only contacts selected as involved get it on their contact timeline.
- Set next action creates a task. Enter what needs doing, its due date, and assignee. Complete an existing open next action in Tasks before adding another.
- Park records why work has stopped and optionally a resurface date. Turn on Show parked to include these entries; Unpark makes one active again before moving stages.
- Qualify records that a prospect merits bid-writing time. It leaves the active funnel and appears in the final column. Un-qualify makes it editable again; move it back to the appropriate stage afterwards.
Qualification currently records the status and date. It does not create an opportunity: the Pipeline and Stewardship tabs remain placeholders.
Plan follow-up and bulk updates
Filter by owner (Mine or Everyone’s) and tag. The health strip highlights entries without a next action and prospects that have gone cold (no touchpoint for 30 days or more).
In Table, select entries to reassign owners, move stages, add a tag, set next actions, or park entries. Setting a next action creates one task per selected cultivation; entries with an existing open next action are skipped. If an update reports partial success, check the refused entries individually before retrying.
Maintain dropdown choices
In Settings, add or rename Sources and Opportunity types, then Save changes. Renaming updates entries that use the choice. Archiving removes a choice from new selections but preserves it on existing entries; use Show archived to restore it.
